Step-by-step guides to install Summa, sell, connect your registers and everything else. Search for what you need or browse by topic.
These guides give the register's buttons and menus by their Spanish names, with the English meaning in parentheses. Since version 1.2.0 the register can also run in English (see “Use Summa in English” below).
We didn't find guides for your search. Try other words, report it from My business or write to us at soporte@summapos.com.
🚀 Getting started
How to install Summa POS on your computer
- Click ⬇ Download Summa POS (at the top of this page).
- Open the downloaded file
SummaPOS_Setup.exeand follow the setup wizard. - When it finishes, open Summa POS from the Start menu or the desktop shortcut.
- The first time, it will ask for your register's terminal code (Código de terminal; see the next guides).
Summa POS runs on Windows 10 or 11.
Create your account and start the 15-day free trial
- Go to summapos.com/crear-cuenta (from any browser, even on your phone).
- Enter your name, your business name, your email and a password.
- When you're done you land in your My business dashboard.
- Generate the code for your first register and type it into Summa POS (see the next guide) — your 15-day Professional trial starts when that register connects, no card needed.
There is one trial per account and per computer. When it ends, buy your plan in My business → My plan.
Connect your register with a terminal code
- In summapos.com → My business → Registers, give the register a name (e.g. “Register 2”) and press Generate code.
- Copy the code (e.g.
ABCD-2345) — it is shown only once and expires in 24 hours. - On the register, open Summa POS, type the code in “Código de terminal” (terminal code) and press Conectar esta caja (connect this register).
- Done: the register is connected with the name you chose. If your plan is Lifetime, the license activates by itself at that moment.
- Then sign in with your cashier user to start working.
Your password is never typed on the register. To disconnect a register (or free up its spot), retire it in My business → Registers.
Sign in as a cashier (the first time, user admin and password admin)
After connecting your account, Summa asks for the cashier sign-in (this is different from your Summa account). The first time there is an administrator user ready:
- User (Usuario):
admin - Password (Contraseña):
admin
- Type
adminas the user andadminas the password. - Press Entrar (sign in).
For security, change its password and create a user for each cashier (see the next guide).
Create cashiers and change the administrator password
- Sign in as an administrator and open the Usuarios (users) section (in the side menu, or the
F7key). - For a new cashier: Nuevo usuario (new user) → enter their name, user, password and role (Cajero, cashier, or Administrador).
- To change the
adminpassword: select it and edit its password.
Have everyone sign in with their own user: that way reports show sales by cashier and your register stays protected.
Update Summa POS to the latest version
- When there is a new version, opening the POS shows “Update available” (Actualización disponible).
- Accept it: Summa downloads, installs and reopens by itself. Your data isn't touched.
- If it doesn't show up, go to About (Acerca de) → Check for updates (Buscar actualizaciones).
📦 Products and inventory
How to create products
- In the POS, open the Productos (products) section.
- Click Nuevo (new) (or the + button).
- Enter the name, the price, the category and, if you use it, the barcode.
- Choose the Unidad (unit): pza for what sells by the piece (stock is counted in whole numbers) or kg, L, m… for what sells in fractions (0.750 kg, 1.5 m).
- Optional: set the starting stock and the cost (for margins and reordering).
- Save. The product syncs to your other registers (through the cloud or your local network).
If you turned on wholesale prices, packages, lots or modifiers, the product shows those extra sections (see Features by business type).
Manage inventory and stock
- Open Productos and select the product.
- When merchandise arrives, click Entrada / salida (stock in / out), choose Entrada (in), the reason (supplier purchase, return…) and the quantity. You can note the supplier's invoice or delivery slip.
- For what leaves without being sold (shrinkage, expired, internal use), use the same button with Salida (out).
- If you did a physical count and want to set an exact number, edit the product and change Stock actual (current stock).
- The Movimientos (movements) button shows the product's history: stock in, stock out, sales (including other registers') and adjustments, with date and user.
- Stock goes down by itself with each sale and syncs between registers.
In Reportes → Análisis (reports → analytics) you'll see reorder suggestions for what is running out.
Create offers and promotions
- Open the Ofertas (offers) section.
- Create an offer and set the discount and the products it applies to.
- Optional: set it to run between dates and during certain hours (e.g. only from 2 to 5 pm).
- The offer applies by itself in the cart when it's due.
Use the Sugerencias (suggestions) button for offer ideas based on your sales.
🧾 Sales and checkout
Make a sale and charge
- Add products to the cart: scan the barcode or search them by name.
- Click Cobrar (charge).
- Choose the method: cash, cash in dollars, card, transfer, check or credit (to a registered customer).
- If it's cash, enter how much the customer pays; Summa calculates the change (with rounding if you turned it on).
- Confirm to close the sale.
Charge in dollars or with several methods at once
In dollars
- Set your exchange rate in ⚙️ Configuración → Ventas → Efectivo y dólares → Tipo de cambio USD → local (settings → sales → cash and dollars → USD exchange rate).
- When charging, choose Efectivo USD (USD cash) and enter the dollars you receive; Summa shows what they're worth in pesos.
Combining methods (part in cash and part by card, for example)
- In the checkout window, enter the first payment and click ➕ Agregar pago (add payment).
- Add the others until the total is covered.
The cash count separates each method. If you make a return, the refund is split the same way it was paid.
Use your phone as a barcode scanner
You don't need a barcode gun: your phone can scan the codes, without installing any app.
- On the sale screen, click the 📱 Celular (phone) button (next to the product search).
- With your phone's camera, scan the QR code that appears.
- Allow camera access when the phone asks.
- Point the phone at the barcodes: they're entered in the sale (or in the code field when registering a product).
- Once connected, you can close the QR window and keep scanning.
Make a sale to a registered customer
- Add the products to the cart (scan them or search by name).
- Assign the sale's customer: search for them by name. If they don't exist yet, create them in the Clientes (customers) section.
- Click Cobrar (charge) and choose the method: cash, card or credit (if the customer has a credit line).
- Confirm. The sale is linked to that customer, ready for their reports and for them to invoice.
Print the receipt or send it by email
- When the sale is done, choose Imprimir (print) or Enviar por correo (send by email).
- For email, enter the customer's email and the receipt is sent.
- If the customer wants an invoice, the receipt includes a QR code so they can generate it themselves (see Invoicing).
Customers and credit sales
- Open the Clientes (customers) section and create a new one with their name and details — or bring them all at once with Importar Excel/CSV (name, RFC, phone, email, credit limit and tax details).
- Optional: give them a credit limit.
- When charging, choose the customer and the Crédito (credit) method to put the sale on their account. If the sale would take them over their limit, Summa won't let it close.
- When the customer pays you, go to Clientes, select them and click Estado de cuenta / abonar (statement / payment) → Registrar abono (record payment). Enter the amount and how they paid (cash, card, transfer…).
- The statement shows each credit sale, each payment and the balance. The balance is the same on all your registers.
💵 Register, cash counts and returns
Open and close the register (cash count)
To sell you need the register open; at the end of the shift you close it and balance the cash.
1) Open the register
- Go to the 💵 Caja (register) section.
- Enter the fondo inicial (starting cash) and click Abrir caja (open register).
2) During the shift
The register shows you the “Esperado en caja” (expected in the drawer: starting cash + cash sales + customer cash payments) and the breakdown by payment method.
3) Close the register (the cash count)
- Click Cerrar caja (close register).
- Count the physical cash in your drawer and enter it in “Conteo físico” (physical count).
- Optional: add a note.
- Click Cerrar caja. Summa shows you the expected amount, the counted amount and the difference (whether money was over or short).
Only the real cash in the drawer counts: card or transfer sales don't affect the “expected in the drawer”.
4) Review past cash counts
In Caja → Historial de cortes (cash count history; managers and administrators) you see the cash counts of all your registers: starting cash, expected, counted and difference. Double-click to see the breakdown. Cash counts are also kept in your cloud backup.
Make a return
Return some items
- In Historial de ventas (sales history), choose the sale and click Devolución (return).
- Say how many pieces of each product come back. Uncheck «Regresa al inventario» (goes back to stock) if it's damaged: it's recorded as shrinkage.
- Summa tells you how much to give back and how: cash comes out of the drawer (lowering the cash count's expected amount), what was paid by card or transfer is refunded that way, and on a credit sale it's taken off the customer's debt.
- If the sale was invoiced, Summa stamps the credit note and sends it to the customer.
Return the whole sale: use Cancelar venta (cancel sale) (only if it has no partial returns yet).
Only managers and administrators can make returns or cancel sales. To give cash back you need the register open.
Look up your sales (history)
- Go to 🧾 Historial de ventas (sales history).
- Choose the dates and, if you want, the status or the cashier.
- To find a specific sale, type its folio or the customer's name in the search box.
- Select a sale to see its details: products, total, payment method and status.
Record expenses
- Go to the 💸 Gastos (expenses) section.
- Record an expense with its description and amount (rent, suppliers, utilities, etc.).
- Your expenses are included in the reports so you see your real profit.
🏪 Features by business type
Choose your business type and turn on its features
- Go to ⚙️ Configuración → Negocio → Giro y funciones (settings → business → business type and features).
- Choose your Giro del negocio (business type); Summa turns on the features it usually needs:
- General store (Tienda general): the basics, no extras.
- Grocery, butcher or produce store (Abarrotes, carnicería o frutería): scale, wholesale prices and packages.
- Hardware or building supplies (Ferretería o materiales): wholesale prices, quotes and packages.
- Restaurant, café or bar (Restaurante, cafetería o bar): tables and tabs, kitchen orders, tips and modifiers.
- Pharmacy (Farmacia): lots and expiration dates and the antibiotics log.
- In Funciones (features) you can turn each one on or off separately, whatever the business type.
- Click Guardar cambios (save changes). The new sections (like 🍽 Mesas, tables, or 📝 Cotizaciones, quotes) appear in the left menu.
The business type and features are shared with all your registers.
Restaurant: tables, tabs, kitchen and tips
- Choose the Restaurante, cafetería o bar business type (see the previous guide). On that same screen, set up this register's Impresora de cocina (kitchen printer) and the Propinas sugeridas (%) (suggested tips).
- In 🍽 Mesas → Editar mesas (tables → edit tables) write one table per line; zones (Dining room, Patio…) group them.
- Tap a table to open its tab and add dishes like in a normal sale. For takeout, the bar or a customer without a table, use + Cuenta sin mesa (tab without a table).
- Click 🔔 Enviar a cocina (send to kitchen): only what's new on the tab is printed (plus what gets canceled).
- You can move the tab to another table, merge it with another or split it.
- When charging, choose the tip (10, 15, 20 % or another amount). It's kept apart from the sale: it carries no VAT, isn't invoiced, and shows in the cash count by payment method.
Modifiers: in Productos → Modificadores create option groups with prices (Doneness, Extras…) and assign them to each product (Editar → Modificadores). When selling you can also add notes for the kitchen (“no onion”). Several registers can add to the same table.
Sell by weight with a scale
- Turn on the Báscula (scale) feature in ⚙️ Configuración → Negocio → Giro y funciones (the Abarrotes, carnicería o frutería type already includes it).
- There, choose the Puerto de la báscula (scale port) and its Velocidad (speed). If you don't have a scale connected, choose Sin báscula (no scale) and type the weight.
- For each product sold by weight, set the Unidad (unit) to kg (or g / lb).
- When selling it, Summa asks for the weight: it reads it from the scale or you type it, by weight or by amount (“give me $50 of ham”).
Variable-weight labels: if your scale prints labels with a barcode, set which digits they start with and their format; scanning the label loads the product with its weight or amount.
Pharmacy: lots, expiration dates and antibiotics
- Choose the Farmacia (pharmacy) business type: it turns on Lotes y caducidades (lots and expiration dates) and Registro de antibióticos (antibiotics log). On the same screen you choose how far ahead to warn about expiration.
- On each medicine, check Por lotes con caducidad (by lots with expiration) and, if it applies, Es antibiótico (is an antibiotic).
- Every Entrada / salida (stock in / out) asks for the lot and its expiration date. The Lotes (lots) button in Productos shows how much there is of each; what you had before without a lot you sort out with Asignar a un lote (assign to a lot).
- When selling, what expires first goes out first, and Summa won't let you sell expired stock.
- In Reportes → Caducidades (reports → expirations) you see what's about to expire and write off what has expired.
- When charging an antibiotic, Summa asks for the prescription details (doctor, professional license, address and date). The control log is in Reportes → Antibióticos, where you can export it.
Wholesale prices and packages (box, bundle, roll)
Turn on Precios de mayoreo (wholesale prices) and/or Presentaciones con factor (packages with a factor) in Configuración → Negocio → Giro y funciones (Hardware and Grocery already include them).
Wholesale: edit the product and in Precios de mayoreo add from how many pieces each price applies. In the cart the price changes by itself when that quantity is reached (“Mayoreo desde 12”, wholesale from 12).
Packages: in Presentaciones → + Presentación add, for example, Box of 12 with factor 12 and its price. When you sell a box, stock goes down 12 pieces: you sell by the box, bundle or roll and count in pieces, kilos or meters.
Make a quote and turn it into a sale
- Turn on Cotizaciones (quotes) in Configuración → Negocio → Giro y funciones (Hardware already includes it).
- In Punto de Venta (point of sale) build the cart like a normal sale and click 📝 Cotizar (quote).
- The quote is saved in 📝 Cotizaciones: from there you print it, save it as PDF or email it.
- When the customer accepts, click Convertir en venta (convert to sale): it loads into the cart and, once charged, it's marked as sold.
🖧 Multiple registers and local network (LAN)
Connect several registers over a local network (LAN)
The local network lets you sync several registers without internet, over your own network. It's exclusive to the Lifetime plan.
- Connect each register with its terminal code (see the Getting started guide).
- On the main register: go to Configuración → Cuenta → Red local (settings → account → local network) and under Modo de esta caja (this register's mode) choose Principal (main).
- On the other registers: choose Secundaria (secondary); they connect automatically to the main one on the same network.
- Restart each register after changing its role.
- Done: products, sales and inventory are shared between all registers.
Creating a product on any register copies it to the others.
How many registers does my plan allow?
- Basic: 1 register.
- Professional: 3 registers.
- Business: unlimited registers and up to 3 branches.
- Lifetime: 1 register · Lifetime Multi: 3 registers.
If you need more registers, upgrade your plan in summapos.com → My business → My plan. When you downgrade, the extra registers disconnect by themselves — and you can retire any of them from My business → Registers.
How do I open another branch?
- Buy the Business plan in My business → My plan.
- In My business → Branches press Open branch; give it a name, an address and, if it invoices from a different address, its tax ZIP code.
- Connect its registers from My business → Registers by choosing that branch, or move a register you already have from the Branches page.
Each branch keeps its own inventory, sales, customer credit, cash counts and tables; the catalog, customers and users belong to the whole business. With several branches, all your registers need Summa POS 1.1.0 or later: a register on an older version keeps uploading its sales, but doesn't get changes until it's updated.
☁️ Cloud and subscription
See your business in the cloud (“My business” dashboard)
- Go to summapos.com/entrar and sign in with your Summa account.
- With a plan that includes the cloud you see your sales, products, inventory, registers and users from anywhere, for one branch or all of them.
- On any plan you manage your terminals, branches, your page, your plan and Refer and earn there.
Change plans, buy or cancel
- Go to summapos.com → My business → My plan.
- There you can buy a plan, change it or cancel it (Stripe, secure payment). Lifetime plans also buy their extras there (cloud and renewal).
- When you cancel, your plan stays active until the end of the period already paid.
It also works from the POS (Configuración → Cuenta → Administrar mi plan). After a change, reopen the POS so it picks it up right away.
Lifetime: cloud add-on and updates renewal
The Lifetime plan is a one-time payment and works locally / over your local network. You can add:
- Cloud add-on: cloud backup and remote access to the dashboard.
- Updates renewal: extends updates for one more year.
Both are managed in Configuración → Cuenta → Administrar mi plan (settings → account → manage my plan) or in My business → My plan. Extras can only be canceled (not switched to another plan).
Refer and earn: invite another business
- Go to My business → Refer and earn and copy your link or your code.
- Share it with another business. If they sign up with it, they're linked to you and their first purchase comes with a gift: 50% off the first month, a free month if they pay yearly, or 30 days of cloud if they buy Lifetime.
- 30 days after their first payment, if there was no refund or chargeback, we credit you one month of your plan, taken off your next charges automatically. On Lifetime you earn 30 days of cloud.
The credit expires after 12 months and is never more than the referred business pays a month. There's a cap of 12 rewards a year: if you reach it, the next ones wait their turn. Read the full rules.
🌐 Your page on summapos.com
Publish your business page (summapos.com/n/…)
- Go to My business → My page.
- Pick the address (for example
summapos.com/n/your-business), say what you sell and choose whether to show prices and stock (only “available / sold out”, never the quantity). - Check Publish my page and tap Save. Use Preview to check it first.
The catalog comes from what your register syncs, with prices as the register charges them. You can build it on any plan, but the public only sees it while you have the cloud (a current or trial plan, or Lifetime with the cloud add-on).
Design your page: style, cover, sections and announcements
- In My page, tap Design my page.
- Choose the style and colors, upload a cover, and pick the header and how the catalog looks (list, grid or menu by category).
- Reorder or turn off sections, add an announcement (with an end date if you like) and your social media.
- Tap Save design. The preview updates as you edit.
Take orders through WhatsApp
- In My page → Contact per branch, enter each branch's WhatsApp (plus hours and phone) and tap Save.
- Your customers add products to the cart on your page and send it as a message to that WhatsApp.
- You confirm, charge and deliver as usual: the order doesn't go through Summa and isn't paid online.
In Design my page → WhatsApp orders you change the button text and the message greeting.
Feature or hide products and categories
- Feature: in My page → Products, tap the ★. Up to 12; they go first, in the order you marked them.
- Hide a product: removes it from your page without deleting it from the register.
- Hide a category: in My page → Categories, uncheck it and tap Save.
Add photos to your products
- In My page → Products, tap the 📷 box next to the product and choose the photo (from your computer, your gallery or your phone's camera).
- It uploads on its own: we shrink it first so your page loads fast even on mobile data.
- To change it, tap the photo; to remove it, Remove photo.
One photo per product. How many products can have a photo depends on your plan: Básico 100, Profesional 500 and Empresarial 2,000. On your page, tapping a photo shows it large.
Put your location on the map (pin)
- In My page → Contact per branch, tap Drop the pin on the map.
- Tap the exact spot of your store (zoom in and drag the pin to fine-tune it), or tap Use my location if you're at the business.
- Tap Save. The map on your page and the Directions button go right to that spot.
Without a pin, the map looks up the branch's address. Remove the pin goes back to it.
Share your page
- Copy your address (
summapos.com/n/your-business) and post it on your social media, your WhatsApp status or your Google profile. - In Design my page → When shared you choose the title and image (logo or cover) shown when it's shared.
Published pages go into the summapos.com sitemap so Google can find them; showing up in results can take days or weeks.
🧮 Invoicing (CFDI)
Set up your tax details to invoice
- In the POS, go to Configuración → Facturación (settings → invoicing).
- Enter your tax details (RFC, legal name, tax regime, ZIP code) and click Guardar datos fiscales (save tax details).
- Upload your CSD (the SAT's digital seal certificate: .cer and .key files, and its password) with Subir sellos al PAC (upload seals to the PAC).
- Save. From then on your customers can invoice their receipts.
Without a CSD loaded, the system won't stamp invoices.
Give your products their SAT code
- In Productos, edit the product and under Clave SAT (SAT code) click Buscar… (search).
- Type what you sell (for example refresco or tornillo; the SAT catalog is in Spanish) and choose the code. Do the same with the Unidad SAT (SAT unit) if it isn't a piece.
- To avoid going one by one, set a code per category (Productos → Categorías → Editar): every product in that category without its own code uses it.
- You can also import them from Excel with the clave sat and clave unidad columns.
If a product has no code, it's invoiced with the generic 01010101. It's valid, but your accountant will prefer the real code.
Invoice a sale from the register
- Go to Historial de ventas (sales history), choose the sale and click Solicitar factura (request invoice).
- Enter (or confirm) the customer's RFC, legal name, ZIP code, tax regime, CFDI use and email.
- Click Timbrar factura (stamp invoice): the PDF and XML reach the customer by email and are kept in Facturas (invoices).
It works on any plan, including Lifetime without cloud: you only need internet when stamping.
Cancel an invoice
- In Facturas (invoices), choose the invoice and click Cancelar factura (cancel invoice).
- Choose the SAT reason (02 if it had errors, 03 if the sale didn't happen).
- Small invoices or those to the general public are canceled right away; the rest wait up to 72 hours for the customer to accept.
- Once canceled, you can invoice the sale again with the correct details.
Issue the global invoice (general public)
- In Facturas (invoices), click Factura global… (global invoice).
- Choose the frequency (monthly is the most common) and a day in the period; you'll see how many uninvoiced receipts there are.
- Click Timbrar factura global (stamp global invoice). It's issued to PÚBLICO EN GENERAL (general public) and you get a copy.
Receipts your customers already invoiced (at the register or with the QR) are left out automatically. A receipt already in a global invoice can't be invoiced separately unless you cancel the global one.
How your customer invoices (self-invoicing)
- Give the customer the receipt with the QR code (or the sale's folio).
- The customer goes to summapos.com and scans the QR or enters the folio.
- They enter their tax details and generate their invoice.
- They receive their CFDI (PDF + XML) by email automatically.
🛠️ Business settings
Where did each option go? (Settings in Summa POS 1.1.0)
Since version 1.1.0, ⚙️ Configuración (settings) is organized in 6 tabs:
- Negocio (business): business details (name, RFC, address, logo and receipt message) and business type and features (formerly the “Giro” tab).
- Ventas (sales): tax, cash and dollars (exchange rate and rounding) and how the register sells: negative stock, open register, product grid and sales channels (formerly “Moneda e impuestos” and “Operación POS”). The currency code, symbol and decimals moved to Moneda e impuesto (avanzado).
- Ticket e impresora (receipt and printer): printer, cash drawer and receipt (formerly “Impresora”). The digits and the next folio moved to Numeración del folio (avanzado).
- Facturación (invoicing): tax details and seals (CSD) for stamping.
- Cuenta (account): your plan and the cloud (formerly “Nube”), backups (formerly its own tab) and, on Lifetime, the local network.
- Apariencia (appearance): light or dark theme, colors, font size, the on-screen keyboard's Modo táctil (touch mode), the scanner (advanced) and the ⌨ Ver atajos de teclado (see keyboard shortcuts) button (formerly the “Atajos” tab).
Sections marked “avanzado” (advanced) start collapsed: click their title to open them.
Turn on cash rounding
To avoid hassle with small coins, Summa can round the total when the customer pays in cash.
- Go to ⚙️ Configuración → Ventas → Efectivo y dólares (settings → sales → cash and dollars).
- Turn on “Redondear el total cuando se paga en efectivo” (round the total when paying cash).
- Choose the Paso de redondeo (rounding step) (e.g.
0.50to round to 50 cents, or1.00to the peso). - Choose the Modo (mode): Al más cercano (nearest), Siempre hacia arriba (always up) or Siempre hacia abajo (always down).
- Save.
Card, transfer and check always charge the exact amount: rounding only applies when the whole payment is in cash.
Set up VAT / taxes and the currency
- Go to ⚙️ Configuración → Ventas → Impuestos (settings → sales → taxes).
- Adjust the Impuesto por defecto (default tax; 16 % in Mexico) and check Precios incluyen impuesto (prices include tax) if your prices already include VAT.
- To change the currency code, symbol or decimals, open Moneda e impuesto (avanzado) (it's almost never needed).
- Click Guardar cambios (save changes). The new values apply to your sales.
Each product can have its own rate (for example 0 % on basic foods) when you edit it.
Set up the receipt printer and the cash drawer
- Go to ⚙️ Configuración → Ticket e impresora (settings → receipt and printer).
- Under Impresora (printer) choose your printer (Windows, USB, network or serial) and click Imprimir prueba (print test).
- If your cash drawer is connected to the printer, check Abrir cajón de dinero al imprimir (open cash drawer when printing); Abrir cajón ahora (open drawer now) lets you test it.
- Under Ticket y folios (receipt and folios) you decide whether it prints only when charging, whether it carries your logo and how many copies.
- Click Guardar cambios (save changes).
The name, address, logo and message on the receipt are entered in Configuración → Negocio (settings → business).
Sales through delivery apps (sales channels)
- Go to ⚙️ Configuración → Ventas → Canales de venta (apps de delivery) (settings → sales → sales channels) and add the platforms you use (Rappi, DiDi, Uber Eats…).
- When charging an order from an app, tag the sale with that platform.
Those sales take stock out like any other, but the money is collected by the platform: they don't go into the cash count's expected cash and show separately in the reports.
Keyboard shortcuts and appearance
Shortcuts let you move around without the mouse: F1 Punto de Venta (point of sale), F2 Productos, F3 Clientes (customers), F4 Caja (register), F5 Historial de ventas (sales history), F6 Reportes, F7 Usuarios (users) and F8 Configuración (settings). F9 hides or shows the side menu.
The full list (checkout, cart, search…) is in ⚙️ Configuración → Apariencia → ⌨ Ver atajos de teclado (settings → appearance → see keyboard shortcuts).
On that same tab you change the theme (Claro, light, or Oscuro, dark), the colors and the font size.
On-screen keyboard (touch registers or no keyboard)
Summa POS has its own on-screen keyboard to type with the mouse or your finger.
- Tap ⌨️ Teclado en pantalla (on-screen keyboard) in the side menu. On the sign-in screen and when connecting the register, it's below the form.
- Tap the field you want to type in and use the keys. ⇧ capitalizes the next letter (two taps: all caps), ´ adds an accent to the next vowel and Siguiente (next) moves to the field below.
- For quantities, prices and amounts the number pad shows up by itself; ABC goes back to letters.
- Drag it by its title bar if it covers something, and close it with Ocultar ✕ (hide).
To have it open by itself every time you tap a field, go to ⚙️ Configuración → Apariencia → Teclado en pantalla and turn on Modo táctil (touch mode). It's set on each register.
It also works inside the checkout, customer and product windows. The barcode reader keeps working the same with the keyboard open.
Hide or show the side menu
If you need more room to sell, tap ☰ at the top of the side menu (or press F9): the menu shrinks to its icons. Tap it again to see it in full.
With the menu collapsed, hover over an icon to see its name. Each register remembers how you left it.
Switch cashiers (sign out)
- Tap 🚪 Cerrar sesión (sign out), at the bottom of the side menu.
- The cashier sign-in screen appears; sign in with another user.
Signing out does not disconnect your Summa account or delete anything: it only switches cashiers.
Use Summa in English (web and register)
- Website and My business: choose Español or English in the top menu. When you're signed in it also changes the language of your emails.
- Register (Summa POS 1.2.0 and later): Settings → Appearance → Language. It applies when you reopen Summa POS.
- Receipts, quotes and their emails: Settings → Ticket and printer → Language of tickets, quotes and customer emails.
Invoices (CFDI), SAT catalogs and the antibiotics log are always in Spanish.
⚙️ Account, backups and reports
Report a problem, a complaint or a suggestion
From the register (recommended if something fails):
- In the Summa POS side bar, tap 🛟 Reportar un problema (report a problem).
- Choose what it is (failure or error, complaint, suggestion or question), give it a title and tell us what happened.
- Leave Adjuntar el registro de la caja (attach the register's log) and Adjuntar una captura de esta ventana (attach a screenshot of this window) checked: they tell us what failed without having to ask you.
- Tap Enviar (send). If the register has no internet, the report is saved and goes out by itself when the connection is back.
From the web: go to My business → Report a problem; there you also see your reports and their status (received, in review, resolved).
We reply to your account's email. Each report has a folio (for example R-3F2A9C); mention it if you write to us at soporte@summapos.com.
Recover or change your password
- In the POS sign-in window, click “¿Olvidaste tu contraseña?” (forgot your password?).
- Or go straight to summapos.com/recuperar.
- You'll get an email with the link to create a new password.
Backing up your data
- In the POS, go to Configuración → Cuenta → Respaldos (settings → account → backups).
- Create a backup or restore a previous one.
Backups are available on paid plans (Basic, Professional, Business and Lifetime). During the free trial the section shows a lock and turns on when you buy your plan.
Reports and analytics for your business
- Open the Reportes (reports) section.
- Review sales, best-selling products and cash counts.
- On the Análisis (analytics) tab you'll see margins, peak hours, trend and reorder suggestions for the last 30 days.
